Enhancing student success: A closer look at SMU’s retention alert system.

Ensuring the academic success and well-being of undergraduate students is a priority for SMU, and the Office of Student Success and Retention is taking proactive steps to address potential challenges through its innovative Retention Alert system. Faculty, staff, parents, and families are encouraged to utilize this reporting tool to share information about students who may be considering leaving SMU.

What is a Retention Alert?

The Retention Alert system serves as a valuable tool to identify and support students who may be at risk. This reporting form allows faculty, staff, and concerned individuals to communicate their retention concerns about an SMU undergraduate student. By using this tool, reporting personnel can play a crucial role in initiating timely intervention to support students facing academic or personal challenges.

How does it work?

The process is simple and user-friendly. The Retention Alert reporting form prompts the individual reporting to identify the reason for the alert and provide some details to help the SSR team. This information is then utilized by the SSR team, who will make a deliberate effort to connect with the student. This goal is to offer academic personal support services that can contribute to the student’s overall success and retention here on the Hilltop.

Encouraging Collaboration:

One of the key strengths of the Retention Alert system is its emphasis on collaboration. Faculty, staff, and other stakeholders are encouraged to continue working closely with the identified students even after submitting the alert. This collaborative approach ensures a holistic support system for students, addressing both academic and personal challenges that may hinder their progress.

When in Doubt, Report:

If there’s uncertainty about whether a situation should be reported, individuals are encouraged to err on the side of caution and report their concerns to the Caring Community Connection (CCC) program or call 214-768-4564. This proactive approach ensures that no potential issues are overlooked and appropriate support can be provided.

Reminder: Flex Cards Available to Faculty & Staff for Retention and Student Success

With the Fall ’25 semester buzzing along, the Office of Student Success and Retention is happy to remind our amazing staff and faculty about the SMU Dining flex cards. These cards are designed to enhance your engagement with students beyond the traditional classroom or office setting.

This initiative offers a fantastic opportunity for you to connect with students in a relaxed environment, foster meaningful relationships, and demonstrate your support, particularly for those who may need additional encouragement to stay on track or at SMU.

To get your hands on a flex card:

  1. Contact the Office of Student Success and Retention at ssr@smu.edu or 214-768-6824 to reserve your card.
  2. Pick up your card from the SSR office in Laura Lee Blanton Building, Suite 100 between 8:30 – 5 PM Monday – Friday.
  3. Treat yourself and your student to coffee, tea, lunch, or a snack at any SMU Dining location.
  4. Return the card along with your receipt within 24 hours of checkout to the SSR office.

Welcome John Easton

Please join us in welcoming John Easton to the Student Academic Engagement and Success (SAES) team! John has joined as the inaugural assistant provost for Student Academic Engagement and Success. In this role, he will lead cross-campus collaborations to improve undergraduate academic success for first-year and transfer students, support the launch of professional advising at SMU, develop additional opportunities for summer academic bridge and academic recovery courses and provide operational oversight of Academic Development of Student Athletics (ADSA).

John is bringing with him nearly 25 years of experience at SMU. He currently serves as associate chair, chief undergraduate advisor and program director of the Master of Science in environmental engineering in the Department of Civil and Environmental Engineering at Lyle School of Engineering. Additionally, he is a clinical professor, teaching undergraduate and graduate courses in Environmental Engineering. John received his Ph.D. in environmental health engineering, along with an M.S. in civil engineering, from the University of Alabama at Birmingham. He holds a B.A. in biology from the University of Kansas.

In his new role, John says he is looking forward to “working with all of the great people! The SAES team, administration, faculty colleagues, and (of course) students and student-athletes! Student engagement and success is “my jam,” and I’m thrilled to be working to support those programs and projects.” Of the students, he mentioned that “it’s a privilege to work alongside such driven, smart, and dedicated young people. They’re going out to change the world!”

John is super engaged at SMU along with his family. His wife also teaches in the Lyle School and his son has two SMU degrees and was a member of the Men’s Swimming and Diving team. Since all of the kids have left the nest, John and his wife are rediscovering their love of travel, reading, puzzles and games. And they are staying in touch with our kids by playing a weekly Dungeons and Dragons campaign, which he says has been great fun.

Now hiring for the Student Success Professional position within the Office of Student Success and Retention

SMU Student Academic Engagement & Success (SAES) is excited to share that the Office of Student Success and Retention is hiring a full-time Student Success Professional.

Student Success Professional, Student Success and Retention: As part of the Office of Student Success & Retention, the Student Success Professional will help undergraduate students navigate campus resources and resolve issues as part of a coordinated effort to improve students’ experience & persist to graduation. The Success Professional will practice data-driven outreach and proactive resource referral to meet the needs of students. This position will help with a range of initiatives focused on students’ academic success, including first-years, transfers, those on academic probation, those returning from leave, and others identified as at-risk. The position will generate data and reports to help identify barriers to student satisfaction, academic progression, & retention. The Success Professional will provide mentorship and daily academic counseling to students to support their academic pursuits. They will also assist with many efforts in partnership with student affairs, academic affairs, and other campus areas.

Year-end review: Retention alert and advising note reporting system recap

With the Academic year ending, the Office of Student Success and Retention would like to focus on the effectiveness of our Retention Alert and Advising Note reporting system. We would like to thank every individual advisor or faculty member who used these tools to report any retention risk. 

 This academic year, with the valuable assistance of advisors across campus, 231 advising notes were submitted during the fall and spring semesters, in addition to 94 retention alerts. These submissions from our campus community have played a crucial role in identifying students who are considering transferring or taking a leave of absence from SMU.  

The Office of Student Success and Retention has utilized the information from both reporting systems to effectively intervene with at-risk students, demonstrating our collective efforts. SSR would like to express gratitude to the faculty and staff members who submitted advising notes and retention alerts this academic year. Through your partnership, SSR has been able to reach out to and assist students while providing them with support and connections to campus resources.

Summer Forge returns for Summer 2024 with a 29-student cohort 

Following the successful completion of the inaugural Summer 2023 cohort, Summer Forge is back with a cohort of 29 students. Summer Forge provides invited undergraduate students with financial, academic, and social support to accelerate their path to on-time graduation.    

Invited students receive up to 8 paid semester credit hours over May, Summer, and/or August terms. To make the program more accessible, housing costs were included for non-local students. The Summer 2024 cohort consists of 29 students attempting over 167 credit hours during the summer terms. The average participant takes 6 hours to fulfill major, minor, or Common Curriculum requirements.  

Summer Forge is a collaboration between the Office of Student Success and Retention, SMU in Four, Office of Financial Aid, and Student Academic Success Programs. It reflects the university’s commitment to improving retention and graduation rates. Program Co-Directors Brittaney Wilson, General Education and Academic Appeals Coordinator, and Jay Guillory, Success Counselor in the Office of Student Success and Retention, initially identified the students based on various criteria, in addition to their commitment to complete classes in the Fall 2024 semester at SMU. They would like to thank the many advisors who recommended students and assisted with student outreach for their support.   

To kick off a successful Summer Term, Becca Umobong and Chris Meyers from Academic Skill Development led a Learning Strategies Workshop focused on: Time Management Resources and Improving Academic Success. In addition to the workshop, all students have individual academic counseling sessions. Students are also encouraged to visit the A-LEC for tutoring services across course content areas.

Student Senate Awards First-Generation Scholarship

The First-Generation Initiative is excited to announce that on March 26th, Student Senate passed legislation, which appropriates $50,000 per year exclusively to Pell Grant, first-generation students. This first-gen scholarship will begin in Fall 2024 and last for the next nine years (Spring 2033).

A huge thanks to all of Student Senate for the unanimous vote, but a special thanks to: Alex Alarcón, Clayton Meyer, Michael Castle, and Wyatt Harms! We also want to thank the First-Generation Initiative’s former graduate/student assistants, Briana Morales and Guadalupe Roman, for their determination in continuing to push for more first-gen support.

Director, Student Success and Retention: The Director leads the Office of Student Success and Retention (SSR). The primary role is supervising three full-time staff and providing day-to-day problem-solving for students trying to remain, depart, or return to SMU. Working closely with the Assistant Provost for Undergraduate Education and Academic Success and the SMU in Four initiative, the Director operationalizes processes to identify at-risk students, strategically outreaches to inspire engagement, coordinates interventions, tracks academic progress, and assesses our institutional strengths and weaknesses in these areas. Manage interventions as projects, repeating annually or each term, involving multiple offices. The Director chairs a university-wide retention and financial support committee to retrain undergraduate students. Serves as a critical partner to the Office of the Dean of Students.
