Process for Adjunct Faculty and Student Workers
Part of your preparation for the new academic year may include using the new ePAF process in my.SMU for the hiring and rehiring of student workers and adjunct faculty. The ePAF process is accessible in my.SMU under Manager Self Service > eForms WorkCenter.
Training Required to Access the New Forms
Training is required to gain access in my.SMU to initiate ePAFs for student workers and adjunct faculty using the new process.
If you did not complete the training by attending one of the on-campus training sessions during the summer, you can take advantage of the new online training option.
Follow these steps to request the ePAF training and my.SMU security:
- Visit smu.edu/oit and click Open a ticket
- Click the menu button in the top left, select ePAF Permissions located under the Payroll/TimeAccess section
- The ePAF request displays. Click Save. A confirmation that your ticket has been submitted will display; click continue and close.
Batch Upload Process is Part of New Functionality
There is also new functionality available to those who submit PAFs that complements the ePAF process – called the ePAF Batch Upload process. The ePAF batch upload process provides you the option of populating an Excel template with the job information for multiple hires/rehires, which you can email to the Payroll Office to have a Payroll team member upload the data into the ePAF system. The batch upload process will create and submit all of the ePAF records and start the approval workflow routing – thereby eliminating the need for you to key the data into the ePAF records yourself.
Process for Temporary Staff Hired by SMU (not Kelly Services)
The “old” ePAF process – to be used for temporary staff employees who are not hired through Kelly Services – is located in my.SMU under Manager Self Service > Electronic Requests > PAF-Initiate Record.
Refer to the Payroll website for additional information pertaining to payroll deadlines, electronic pay papers (including the new batch upload feature), as well as other helpful guidelines to achieve the successful submission of job and payment data for newly hired and rehired student workers, adjunct faculty, and temporary staff employees.
