IT Initiative Begins Addressing Service Delivery and Identifying Savings

In fiscal year 2014, total spending on IT at SMU was 50% more than the industry average in higher education. On February 4, the Information Technology (IT) Initiative team held their inaugural meeting and began working to help the University save between $6 and $9 million in annual technology spending and improve service delivery across campus.

The primary work of this team will be to identify how to deliver best-in-class IT service at the lowest possible cost. The group will be divided into three sub-teams. Operational Computing will explore possible scale benefits associated with campus-wide delivery of desktop computing, help desk, A/V, network and web development services. Academic Computing will examine best practices for school-specific applications or hardware tied to teaching and mission and support for research, including high performance computing. Both of these teams will focus on service delivery, governance and organization of their respective areas. The third sub-team will evaluate SMU’s enterprise resource planning (ERP) software to ensure that our system minimizes transactional activities across campus. All three teams will aim to increase customer satisfaction and make service levels and delivery more useful and efficient.

Dr. Marc Christensen, dean of the Lyle School of Engineering, and Dr. Jim Quick, associate vice president of research and dean of graduate studies, will serve as executive sponsors of the IT Initiative. Greg Ivy, director of the Underwood Law Library, will serve as project manager for the committee, and Joe Gargiulo, chief information officer, will serve as an advisor to the team.

Why are additional changes to staffing possible after the Organization Design Initiative is complete?

The Organization Design Initiative is designed to address staffing issues related to industry benchmarks, with a focus on reducing the number of layers between front line employees and executives and increasing the number of direct reports (or “spans”) for managers. For more information on spans and layers, see this explanation. This restructuring is meant to improve effectiveness throughout the University and repurpose funds from administration to further SMU’s academic mission. As other initiative committees continue to streamline processes, they may identify changes to other positions that make sense for SMU and will be implemented after the OE2C Executive Committee reviews and approves committee recommendations.

At what point do I need to start using the new travel management company, and how do I make the switch?

SMU’s contract with Christopherson Business Travel, the new travel management company, will not begin until June 1, 2015. Around that time, the installation of Concur should be complete and campus-wide training will be offered to all travelers to ensure a smooth transition. Through the end of May, all SMU travel should be booked using the current system.

Travel Initiative Begins Implementing Solutions

In order to help SMU realize the maximum amount of savings and efficiency possible in the travel booking process, the OE2C Travel Initiative has recommended that Christopherson Business Travel serve as the University’s new travel management company (TMC). The new travel software solution, Concur, requires integration with a TMC and the committee felt Christopherson was the best provider to issue airline tickets, book hotels and rental cars, and provide live assistance for travel booking and itinerary changes. The company has more than 60 years of experience in the travel business, has been recognized as a top corporate travel agency by Business Travel News and Travel Weekly and is one of 23 Concur Preferred Partners.

Dear SMU Colleagues,

Through Operational Excellence for the Second Century (OE2C), we have been involved in a process to restructure administrative operations across campus to increase resources for our academic mission. Today, we will begin to implement these changes. Though we believe these decisions are necessary to ensure SMU’s long-term progress, we know this will be a challenging time for our campus community.
