SMU computers are assigned to a replacement cycle to ensure they are able to support the latest software applications and business processes. Eligibility is associated with a fiscal year meaning several hundred computers will be eligible starting June 1, 2025. The following outlines the process for ordering the replacement computers as well as the upcoming financial deadlines to support the closeout of the FY25 fiscal year.
- The University Technology Fund covers the replacement of a primary or instructional computers after a specific number of years. A funding allocation is applied based on the current type (Mac and PC) and format (desktop and laptop) of the eligible device. If you wish to switch to a different type or format or order an upgraded version of the standard computer, the additional expenses will be charged to a departmental org. Please ensure you have approval for the additional charges prior to ordering your computer.
- To receive your computer using the university technology fund account, an SMU computer must be turned in at the time of the installation. It does not need to be the specific device that is eligible, but an SMU computer must be turned in, or the department will be charged the full amount of the purchase.
- Once your upgrade order has been placed and the equipment is received in our warehouse, you will receive an email invitation from OIT through STABLE to book your installation appointment. Please be sure to respond to that invitation quickly to expedite the delivery of your computer. If you will not be on campus during the summer, please wait to submit your order until you return. We anticipate a rapid increase in orders during the summer and will do our best to increase the number of appointments and deliver your device as quickly as possible.
- For computers that are eligible in “2026” (beginning June 1, 2025), you may start placing orders on Wednesday, June 4, 2025. All charges for these orders will be processed in the FY26 fiscal year.
- To support the fiscal year-end close activities, all custom orders to be processed in fiscal year FY25 must be placed before Thursday, May 1, 2025, and the equipment received on campus before May 26. Orders for in-stock items (items already on campus) can be placed through May 15, 2025.
- We will temporarily pause ordering activities except for extreme emergencies between May 19 and June 2, 2025.
To view the machines assigned to you and their eligibility dates, please visit smu.edu/stable and click on My Computers. Note that eligibility dates refer to the fiscal year. The 2026 Fiscal year begins on Sunday, June 1, 2025, and ends on Sunday, May 31, 2026. Any computers with an eligibility date equal to or less than 2026 is eligible for replacement, as outlined above.
